Monolith Docs vs Google Workspace

Monolith Docs vs Google Workspace

Google Workspace is one of the most established productivity suites on the market — best-in-class collaborative document editing, plus Gmail, Calendar, Meet, Chat, and Drive in one bundle. For a business that needs the broader productivity stack and is happy to wire up CRM integrations through Apps Script or third-party add-ons, Workspace is hard to beat. Monolith Docs is a focused, full-featured document suite — word processor, spreadsheet, presentation, real-time collaboration, PDF generation — with one capability Google has no native answer for: deep, native integration with your CRM data. Templates pull merge fields from customer records. Documents generate from work orders, invoices, and projects. Inspection reports with photos, contracts, scopes of work, and handover packets are all generated from the same CRM data your office is already using.

Where Google Workspace wins

The broader productivity bundle

Workspace bundles Gmail, Calendar, Meet, Chat, Drive, Sites, and Forms with the document suite — one subscription covers email, video conferencing, team messaging, and calendar. Monolith Docs is a document suite, not an email or calendar product. If your business wants one vendor for the entire productivity stack, Workspace covers ground Monolith Docs does not.

Best-in-class collaborative document editing

Google Docs popularized real-time collaborative editing and remains the gold standard. Multi-user simultaneous editing, presence indicators, comments and resolution, suggesting mode, version history — Workspace's collaboration polish is genuinely strong.

Massive third-party app ecosystem

Workspace Marketplace has thousands of apps that extend the suite — from CRM connectors to project management to specialized tools. If you need an integration, there is probably an app for it.

Gemini AI included in all paid tiers

Google bundled Gemini AI into all paid Workspace plans in January 2025. AI writing assistance, Gmail compose, "take notes for me" in Meet (Standard+), AI image generation in Slides — it is all included in the seat price. Capability scales by tier.

Mature compliance and FedRAMP authorization

SOC 1/2/3, ISO 27001/27017/27018, HIPAA BAA on every paid tier, FedRAMP High authorization. If your business has regulatory requirements that need a specific certification, Workspace has the catalog.

Where Monolith wins

Native CRM integration, not Apps Script

Workspace has no first-party feature to pull data from your CRM into a document template. To merge a customer's name, address, equipment list, or job history into a quote, you build an Apps Script or buy a third-party add-on like Portant or Docu Merge. Monolith Docs is part of the Monolith Platform — templates pull merge fields directly from CRM accounts, contacts, work orders, and invoices natively.

Document generation from CRM records

Generate proposals, invoices, work orders, inspection reports, and contracts directly from CRM data with a single action. Workspace has no native equivalent — bulk document generation and templated PDF output require add-ons or custom Apps Script work.

Custom documents and reports built for trades

Inspection reports with embedded photos, maintenance contracts, scopes of work, handover packets — Monolith Docs is built to generate the documents a trades business actually produces, with templates tuned for the workflow. Workspace gives you a generic word processor; you build the trades workflow yourself.

Native PDF generation pipeline

Documents generate as PDFs automatically with consistent branding and formatting — useful when proposals, contracts, and inspection reports need to ship the same way every time. Workspace exports to PDF on a per-document basis but has no native bulk PDF pipeline tied to CRM data.

Legally compliant e-signatures across all tiers

Monolith provides legally compliant e-signatures with audit trail, tamper-evident records, and signer verification across the platform. Workspace's native eSignature is real but not available on the Business Starter tier ($7/user/month), so the cheapest Workspace plan does not include the feature.

One platform with CRM, Connect, and Docs

Monolith Docs lives alongside Monolith CRM and Monolith Connect on one platform — one login, one bill, one customer record, native data sharing. Workspace + a separate trades CRM means two vendors, two subscriptions, and integration work to keep them in sync.

No tier-gating on document features

Workspace gates eSignature, custom organizational templates, advanced AI features, Vault/eDiscovery, and data residency to higher tiers. Monolith Docs ships document features as part of the platform, not as upsell levers.

Pricing

Google Workspace publishes per-user-per-month pricing on annual commitment: Business Starter $7, Business Standard $14, Business Plus $22, Enterprise custom-quoted (monthly/flexible billing runs about 20% higher). Storage scales by tier — 30 GB pooled on Starter, 2 TB on Standard, 5 TB on Plus. Video meeting size, Vault/eDiscovery, data residency, eSignature, advanced AI features, and several other capabilities are gated to higher tiers — Business Starter at $7 is genuinely entry-level (no eSignature, no Vault, no data residency, no AI in Docs, no AI meeting notes). Gemini AI is included in all paid tiers as of January 2025. To use Workspace as a trades document workflow, you typically add Apps Script automation, third-party Marketplace add-ons (Portant, Docu Merge, Docu Sign, Coefficient, etc.), and integration glue to your CRM — each adding to the per-user cost. Monolith Docs is part of the Monolith Platform — a separately subscribed product alongside Monolith CRM and Monolith Connect with native CRM integration, template merge fields from your customer records, bulk PDF generation, and document workflows built for trades. Beta pricing is being finalized with customers and will be published openly before any billing begins.
