Monolith Docs vs Microsoft 365

Monolith Docs vs Microsoft 365

Microsoft 365 is the dominant productivity suite worldwide and the gold standard for Word, Excel, and PowerPoint. The desktop Office apps are best-in-class for serious document work, the bundle covers email and meetings and intranets, and the compliance catalog is unmatched. The catches for trades businesses: no native CRM merge or document generation (third-party Encodian, Plumsail, or custom Power Automate flows required), eSignature is pay-per-request at $2 each, Copilot is a separate $18-$21/user/month add-on on top of the base seat, and most pricing tiers got an increase in July 2026. Monolith Docs is a focused, full-featured document suite — word processor, spreadsheet, presentation, real-time collaboration, PDF generation — with the one thing Microsoft has no native answer for: deep, native integration with your CRM data.

Where Microsoft 365 wins

Industry-standard Office formats and depth

Microsoft Office is the format of record. DOCX, XLSX, and PPTX are the de facto exchange standard. The desktop Word, Excel, and PowerPoint apps go deeper than any competitor — PivotTables, Power Query, Power Pivot in Excel, advanced layout and citations in Word, design polish and animations in PowerPoint. For users who actually use those features daily, Microsoft is hard to replace.

The broader productivity bundle

Business Standard and above bundle Word, Excel, PowerPoint, Outlook (with hosted Exchange), Teams, SharePoint, OneDrive, Forms, OneNote, Loop, and Lists. One vendor for the entire productivity stack. Monolith Docs is a document suite and does not compete on email, calendar, or video meetings.

Microsoft Purview and the compliance catalog

SOC 1/2/3, ISO 27001/27017/27018, HIPAA BAA, FedRAMP Moderate (commercial cloud), FedRAMP High (Government Community Cloud), 300+ regulatory frameworks via Compliance Manager, Microsoft Purview for eDiscovery/retention/DLP. If your business has demanding regulatory requirements, Microsoft has the certifications.

Multi-Geo data residency across 16+ countries

Microsoft 365 Multi-Geo lets enterprise customers control per-user data residency across 16+ geographies (US, EU, UK, Canada, Australia, Brazil, India, Japan, South Korea, UAE, Switzerland, etc.). For multinational organizations with data sovereignty requirements, no productivity platform offers more flexibility.

Mature developer platform and AppSource ecosystem

Microsoft Graph API is the unified REST API across the entire Microsoft 365 surface. AppSource marketplace lists thousands of integrations and add-ins, plus Power Automate seeded use for workflow automation. Mature ecosystem with deep tooling.

Where Monolith wins

Native CRM integration, not Power Automate plus connectors

Microsoft 365 has no first-party feature to merge CRM data into a document template. To populate a quote with customer name, address, equipment list, and job history from your CRM, you build a Power Automate flow with a third-party connector like Encodian or Plumsail (each adding $5-$15/user/month and a learning curve). Monolith Docs is part of the Monolith Platform — templates pull merge fields directly from CRM accounts, contacts, work orders, and invoices natively.

Document generation tied to CRM records

Generate proposals, invoices, work orders, inspection reports with photos, and contracts from CRM data with a single action. Microsoft has no native equivalent — bulk document generation and templated PDF output require third-party Power Automate connectors or custom builds.

Custom documents and reports built for trades

Inspection reports with embedded photos, maintenance contracts, scopes of work, handover packets — Monolith Docs is built to generate the documents a trades business actually produces, with templates tuned for the workflow. Microsoft gives you a generic word processor; you build the trades workflow yourself.

Legally compliant e-signatures included, not pay-per-request

Microsoft eSignature is generally available worldwide at $2 per signature request — and it lives in SharePoint, not Word directly. Adobe Sign and DocuSign are the alternative integrations. Monolith provides legally compliant e-signatures with audit trail, tamper-evident records, and signer verification across the platform — included, not metered per request.

AI included in the platform, not a $21/user/month add-on

Microsoft Copilot is a separate paid add-on on top of every M365 seat — $18/user/month for the SMB Copilot Business through June 2026, then $21/user/month. Free Copilot Chat is web-grounded only; in-app AI grounded on your tenant data requires the paid Copilot license. Monolith ships AI capabilities as part of the platform.

No web vs desktop feature parity tax

Microsoft 365's web apps are intentionally lighter than desktop — track changes, document compare/merge, full mail merge, macros/VBA, advanced PivotTables and Power Query are all desktop-only. Real work requires installing the desktop apps. Monolith Docs is a true cloud suite — the same features in the browser as anywhere else.

One platform with CRM, Connect, and Docs

Monolith Docs lives alongside Monolith CRM and Monolith Connect on one platform — one login, one bill, one customer record, native data sharing. Microsoft 365 plus a separate trades CRM means two vendors, two subscriptions, and integration work to keep them in sync.

Predictable trades pricing, not a tier-and-add-on stack

M365 pricing got a refresh in July 2026 (Business Basic up 17%, Standard up 12%, E3/E5 also up). To get the apps + Teams + Exchange + AI on Business Standard you're at $14 + $21 = $35/user/month — and that still does not include native CRM integration, document generation, or eSignature. Monolith Docs ships those capabilities as part of the platform without separate AI or document-generation add-ons.

Pricing

Microsoft 365 publishes per-user-per-month pricing on annual commitment. Through June 30, 2026: Business Basic $6, Apps for Business $8.25, Business Standard $12.50, Business Premium $22, Office 365 E1 $10, Office 365 E3 $23, Microsoft 365 E3 $36, Microsoft 365 E5 $57. Effective July 1, 2026 most tiers increase: Business Basic to $7, Business Standard to $14, Office 365 E3 to $26, Microsoft 365 E3 to $39, E5 to $60. Monthly billing runs 20% higher than annual. Business Basic is web-only — desktop Office apps require Apps for Business ($8.25), Business Standard, Business Premium, or Enterprise tiers. Microsoft Copilot is a separate paid add-on on every plan: $18/user/month through June 2026 for the SMB Copilot Business, then $21/user/month. Free Copilot Chat is web-grounded only; in-app AI grounded on tenant data requires the paid license. Microsoft eSignature is pay-per-request at $2 per signature, or via Adobe Sign / DocuSign as connected providers. To use Microsoft 365 as a trades document workflow, you typically add Power Automate workflows with third-party connectors like Encodian or Plumsail for document generation from CRM data — each adding to per-user cost. Monolith Docs is part of the Monolith Platform — a separately subscribed product alongside Monolith CRM and Monolith Connect with native CRM integration, template merge fields from your customer records, bulk PDF generation, and document workflows built for trades. Beta pricing is being finalized with customers and will be published openly before any billing begins.
